KETCHUPs Inc. (“KETCHUPs,” “we,” “us,” or “our”) operates the website ketchups.co (the “Site”). This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have. It is written to meet the requirements of the Act on the Protection of Personal Information of Japan (APPI) and, for visitors in the European Economic Area and the United Kingdom, the General Data Protection Regulation (GDPR).
1. Who is responsible for your data

KETCHUPs has no establishment in the European Union. If you are in the EEA or UK and wish to raise a data protection matter, please write to the address above and we will respond directly.
2. Information we collect
Information you provide. When you submit a launch review request, download a guide, subscribe to our newsletter, or email us, we collect what you enter: your name, email address, company or brand name, campaign or product URL, the stage and timing of your project, and the content of your message.
Information collected automatically. Our servers and infrastructure providers record technical data needed to deliver and protect the Site: IP address, browser and device type, pages requested, referring URL, and timestamps. Where you have accepted analytics cookies, we also receive aggregated usage measurement.
We do not collect special categories of personal data, and we do not knowingly collect information from children under 16. The Site is intended for a business audience.
3. Why we use it, and our legal basis

Under the APPI, the above are the purposes of use for which we handle personal information. We do not use your information for any purpose beyond these without first obtaining your consent. We do not sell personal information, and we do not share it for cross-context behavioural advertising.
4. Who we share it with
We share personal information only with service providers who process it on our behalf under contract, and only as needed to run the Site and our services:
- Xserver Inc. (Japan) — website and email hosting
- Cloudflare, Inc. (USA) — content delivery, DNS, and security filtering
- Google LLC (USA) — Google Analytics (only after you accept analytics cookies) and reCAPTCHA, which protects our forms from automated abuse
- Microsoft Corporation (USA) — Microsoft Clarity, for heatmap and session-recording analytics (only after you accept analytics cookies)
- Automattic Inc. (USA) — Akismet spam filtering for form submissions
We may also disclose information where we are required to do so by law, or to establish, exercise, or defend legal claims. We do not otherwise provide personal information to third parties without your prior consent.
5. International transfers
KETCHUPs is based in Japan, so information you send us is handled in Japan. Some of the providers listed above are located in the United States; our Korea-side coordination is carried out from South Korea.
For transfers from the EEA or UK: Japan and South Korea are both recognised by the European Commission as providing an adequate level of data protection. Transfers to providers in the United States are made under the European Commission’s Standard Contractual Clauses or an equivalent approved safeguard, as set out in those providers’ data processing terms.
For the purposes of Article 28 of the APPI, the personal information protection systems of the countries named above, and the measures those providers take, are summarised here; you may request further detail at any time using the contact address in Section 1.
6. How long we keep it
- Enquiries and review requests: up to 24 months after our last exchange with you, then deleted or anonymised.
- Newsletter subscriptions: until you unsubscribe, plus a short suppression record so we do not contact you again.
- Server and security logs: typically up to 12 months.
- Records we must keep by law (for example accounting records): for the statutory retention period.
7. Cookies and analytics
Cookies that are strictly necessary for the Site to work, and to keep it secure, are always set. Analytics cookies are set only if you accept them in the cookie banner; until then, Google Analytics runs with storage denied and no analytics cookies are written. You can change your decision at any time using the “Cookie settings” link in the footer, or by clearing your browser storage for this site.
Where you accept analytics cookies, we also use Microsoft Clarity to understand how visitors interact with the Site through heatmaps and session recordings. Clarity may collect information such as your IP address, device and browser information, and how you interact with the Site (clicks, scrolls, and mouse movements). Clarity masks sensitive content by default, and this data is used solely to improve the Site and is not used for advertising. See Microsoft’s privacy statement for more information.
Google reCAPTCHA runs on pages that contain a form. It is subject to the Google Privacy Policy and Terms of Service.
8. Your rights
Subject to applicable law, you may ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct information that is inaccurate, or add information that is incomplete;
- delete information, or stop using or providing it to third parties;
- restrict or object to certain processing, including direct marketing;
- receive information you gave us in a portable format; and
- withdraw consent at any time, without affecting processing already carried out.
To exercise any of these, email [email protected] from the address you used with us, or write to the Tokyo address in Section 1. We will verify your identity and respond without undue delay, and in any case within the period required by applicable law. There is no charge for a first request.
Every newsletter email contains a one-click unsubscribe link.
9. Complaints
Please raise any concern with us first at [email protected] — we would rather fix it directly. You also have the right to complain to a supervisory authority:
- Japan: Personal Information Protection Commission (個人情報保護委員会), ppc.go.jp
- EEA: the data protection authority of your country of residence, place of work, or where the issue occurred
- UK: Information Commissioner’s Office, ico.org.uk
10. Security
We take organisational and technical measures appropriate to the risk, including: limiting access to personal information to the people who need it; enforcing individual accounts and strong credentials for administrative systems; encrypting traffic to and from the Site with TLS; keeping the platform and its components updated; and reviewing our providers’ security terms. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Changes to this policy
We may update this Privacy Policy from time to time. The current version is always posted on this page with a revised “Last updated” date. If a change materially affects how we use information you have already given us, we will tell you before it takes effect.
